SUMMARY: Under the general supervision of the Payroll Administrator, and according to established policies and procedures, the Payroll Specialist drives and administers the processing of payroll and all related duties. Maintains contact with attorneys, staff and outside vendors and agencies and observes confidentiality of personnel, client and firm matters.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Analyzes and solves problems concerning payroll, answers inquiries, and enforces payroll policies.
2. Manages the process transfer of bi-weekly hourly payroll to Ceridian, as directed, including, but not limited to, maintenance, adjustments, timecards, paralegal overtime, personal account reimbursements, and general ledger posting.
3. Assists in the administration of the semi-monthly payroll, including, but not limited to, maintenance, adjustments, personal account reimbursements, and general ledger posting.
4. Maintains, triages, and responds to all email messages sent to Payroll Services notifying payroll coordinator and payroll administrator as necessary.
5. Custodian of all per pay reports for all payrolls and distributes checks as required.
6. Creates, updates and maintains needed internal management reports from Ceridian software.
7. Compiles reports of payroll data such as employment verifications, garnishments, and PTO time and audit information as needed.
8. Processes reports for benefits such as parking, transit, insurance and flex account deductions.
9. Participates in Ceridian sponsored classes and/or webinars to keep updated on changes in order to maintain and enhance our use of the software.
10. Performs monthly accounting functions such as creating OT reports, follows up on stale payroll checks, files all payroll reports and reconciles parking invoices with withholding amounts.
11. Assists in development of overall payroll procedures by recommending improvements or changes deemed necessary for greater efficiency. Keeps procedures current.
12. Cross trained in all aspects of payroll.
13. Assists with other accounting responsibilities as time permits such as staff charges, bank reconciliations, vendor maintenance for 1099s, etc.
14. Other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
1. Thorough knowledge of the payroll process and payroll tax laws.
2. One to three years of payroll experience required.
3. Ability to maintain highly confidential information.
4. Ability to organize and prioritize numerous tasks and complete them under time constraints.
5. Strong attention to detail.
6. Ability to analyze and solve problems.
7. Prior experience utilizing Ceridian Dayforce product preferred. Responsible for general housekeeping and organization of payroll area.
8. Interpersonal skills necessary in order to communicate and follow the instruction effectively from attorneys, administrators, and staff and provide information with ordinary courtesy and tact.
9. Work occasionally requires more than 40 hours per week to perform the essential duties of the position.
